People Assistant

The oportunity

Our Talent Team is at the heart of helping to make Cognifide famous for its collaborative and innovative organisational culture. The role of the People Assistant is crucial in supporting our biggest asset – our employees. The Talent team is responsible for the creation and implementation of all processes related to recruitment, engagement, performance management, employee development, compensation and benefits. People assistant will be ensuring smooth and efficient day-to-day running of all People related processes and operations.

Reporting Lines

  • Close working relationship with HR Manager, Office / Facilities team in Poland 



  • Supporting with on-boarding process – checking references, 
  • Supporting HR Manager with Employee Relations cases
  • Preparing HR reports 
  • Being responsible for training arrangements, 
  • Being responsible for the content of our HR internal website
  • Managing staff seating plan, preparing desks for new starters and managing hot desk requirements.
  • Ownership and management of employee starters/leavers/anniversary/birthday calendar.
  • Driving induction schedule for new starters incl. pulling together the new starter box.
  • Driving HR content on a monthly basis in preparation for the monthly newsletter.
  • Managing admin side of hardware distribution for Finance / HR (laptops, mobile phones documentation etc.

Office / Facilities

  • Reliable point of contact for main reception, chaperoning visitors as and when required.
  • Manage all travel and accommodation requests for Cognifide UK employees for business related travel.
  • Manage business records for the booking of business flights, hotels and fixed asset purchases for Cognifide.Manage weekly office food and stationery supplies, ensuring stock levels are at an adequate level at all times.
  • Provide administrative support for all internal social events e.g. Cognifide Summer Barbecue, Xmas Parties, One Cognifide Day and Feel Good Friday’s.
  • Manage Business cards as and when required.
  • General house-keeping for the office, helping to keep the space tidy.
  • Assistance with the coordination of Fire Marshal training. First Aiders and general facilities internal messaging.
  • Collecting business related post and distributing accordingly.
  • Building strong relationships with the facilities team to ensure maximum delivery of service on their part.


  • General administrative assistance if and when required.
  • Assist the Finance team by providing policing and quality control of monthly expenses of Cognifide employees.
  • Assist the Finance team in requesting monthly invoices from external suppliers e.g. software providers.
  • Manage company credit reconciliation process, ensuring sufficient back-up is supplied.
